HeyReach → HighLevel

HeyReach + HighLevel integration

Agencies selling social outreach can finally show it inside the client's CRM. OutboundSync writes HeyReach activity as Notes on the matching HighLevel Contact.

HeyReach + HighLevel at a glance

HeyReach connects to HighLevel through OutboundSync. HeyReach connection requests, acceptances, messages, replies, follows, likes, profile views, and tag changes are written as plain-text Notes on the matching HighLevel Contact in one authorized sub-account. Matching uses a HighLevel custom field that stores the social profile URL, with optional fallbacks.

Social campaigns are hard to show a client because the work happens inside sender accounts they never see. OutboundSync moves it into the client's HighLevel sub-account: each HeyReach event becomes a readable Note on the Contact, so the client can see every request, message, and reply their agency sent on their behalf.

HighLevel doesn't have a native social profile field, so setup points OutboundSync at the custom field you use for profile URLs. That field becomes the match key, with optional fallbacks when a Contact is missing it. OutboundSync can also write the profile URL back to that field when it creates a Contact.

HeyReach + HighLevel FAQ

  • What HeyReach activity does OutboundSync sync to HighLevel?
Connection request sent, connection request accepted, message sent, reply received, follow sent, post liked, profile viewed, and lead tag updated.
  • Which HighLevel records does it write to?
OutboundSync matches or creates HighLevel Contacts. HeyReach events land as plain-text Note on the Contact. See the HighLevel beta guide for details.
  • Do I need a HighLevel custom field for HeyReach?
Yes. Social sources match on a HighLevel custom field that holds the social profile URL. Create or choose that field before source setup, and the OutboundSync team will map it with you.
  • Is the integration one-way or two-way?
One-way. Activity flows from HeyReach into HighLevel, and nothing is written back to HeyReach.
  • Can I use HighLevel records as a block list?
Not today. Block lists come from HubSpot lists or Salesforce reports. The HighLevel beta syncs activity in only.
  • Do I need admin access to set it up?
The HighLevel user who authorizes the Location must use the same email as their OutboundSync login.
  • Which HeyReach plan do I need?
OutboundSync works with every HeyReach plan (Growth, Agency, and Unlimited). Webhooks and the API are included on all of them.
  • How is HeyReach + HighLevel priced?
Beta access is scoped with the OutboundSync team during onboarding. Billing follows the same model as every plan: sent messages per month. Replies, opens, clicks, and lead-category updates are not billed. See the pricing page.
  • Can I do this with Zapier, Make, or n8n?
Zapier, Make, and n8n can route light social activity, but they get hard to maintain once you need accurate sequencing and suppression. OutboundSync is built for CRM sync, keeps searchable event logs beyond 30 days, and prices by outbound volume instead of per-step billing.
  • What breaks first when this scales?
Data quality and reliability break first: duplicate events, retries, out-of-order webhooks, and bursts during big sends. OutboundSync handles idempotency, timing buffers, and queue recovery, and flags suspicious or mismapped payloads instead of writing them.
