HotHawk + HighLevel integration

Agencies working client replies in HotHawk can show that work in the client's HighLevel. OutboundSync writes each inbox event as a Note on the matching Contact.

Reply management is a service many agencies sell but few can show. OutboundSync makes it visible: when an agency team labels, assigns, or closes out a thread in HotHawk, that event lands as a Note on the client's HighLevel Contact, in the sub-account you connected.

Clients see the messages too, email and social, in plain text they can read at a glance. Opportunity updates from HotHawk show which conversations the agency moved forward, without the client needing a login to the agency's tools.

HotHawk + HighLevel FAQ

  • What HotHawk activity does OutboundSync sync to HighLevel?
Email sent, email received, email bounced, label added, opportunity updates, thread updates, social message sent, social message received, and social conversation tag added.
  • Which HighLevel records does it write to?
OutboundSync matches or creates HighLevel Contacts. HotHawk events land as plain-text Note on the Contact. See the HighLevel beta guide for details.
  • Do HotHawk social messages reach HighLevel?
Yes. Social messages sent and received, and social conversation tags, are written as plain-text Notes on the Contact next to email activity.
  • Is the integration one-way or two-way?
One-way. Activity flows from HotHawk into HighLevel, and nothing is written back to HotHawk.
  • Can I use HighLevel records as a block list?
Not today. Block lists come from HubSpot lists or Salesforce reports. The HighLevel beta syncs activity in only.
  • Do I need admin access to set it up?
The HighLevel user who authorizes the Location must use the same email as their OutboundSync login.
  • Which HotHawk plan do I need?
OutboundSync receives HotHawk activity through webhooks. Confirm your HotHawk plan includes webhook access, or ask us to check during setup.
  • How is HotHawk + HighLevel priced?
Beta access is scoped with the OutboundSync team during onboarding. Billing follows the same model as every plan: sent messages per month. Replies, opens, clicks, and lead-category updates are not billed. See the pricing page.
  • Can I do this with Zapier, Make, or n8n?
Yes, for lightweight automation. Zapier, Make, and n8n are good for prototypes and simple routing, but they need ongoing maintenance and bill by task or step. OutboundSync is pre-built for outbound CRM sync, keeps searchable event logs beyond 30 days, and prices by outbound volume.
  • What breaks first when this scales?
Data quality and reliability break first: duplicate events, retries, out-of-order webhooks, and bursts during big sends. OutboundSync handles idempotency, timing buffers, and queue recovery, and flags suspicious or mismapped payloads instead of writing them.
