HotHawk + Pipedrive integration

Know what your inbox team decided before you open a deal. OutboundSync pins HotHawk messages, labels, and opportunity changes to the Pipedrive Person as Notes.

HotHawk + Pipedrive at a glance

HotHawk integrates with Pipedrive through OutboundSync. HotHawk email sends, received emails, bounces, labels, thread assignments, threads marked done, opportunity updates, and social messages and tags are written as Notes pinned to the matching Pipedrive Person. OutboundSync finds or creates the Person and can set an owner on new records.

HotHawk tracks its own opportunities and deal stages inside the inbox, while Pipedrive holds the deals your sales team forecasts. OutboundSync connects the two without letting them fight: HotHawk opportunity changes land as Notes on the Person, and Pipedrive deals only move when a rep moves them.

Because HotHawk handles both email and social threads, the Person match needs to cover both. Social activity uses the Person field you choose for profile URLs, and email activity matches on email, so every message lands on one Person.

HotHawk + Pipedrive FAQ

  • What HotHawk activity does OutboundSync sync to Pipedrive?
Email sent, email received, email bounced, label added, opportunity updates, thread updates, social message sent, social message received, and social conversation tag added.
  • Which Pipedrive records does it write to?
OutboundSync matches or creates Pipedrive Persons. HotHawk events land as note pinned to the Person. See the Pipedrive beta guide for details.
  • Will HotHawk opportunity changes move Pipedrive deals?
No. They are logged as Notes on the Person. Deals, Organizations, and Activities are not part of the connection, so your pipeline only changes when you change it.
  • Is the integration one-way or two-way?
One-way. Activity flows from HotHawk into Pipedrive, and nothing is written back to HotHawk.
  • Can I use Pipedrive records as a block list?
Not today. Block lists come from HubSpot lists or Salesforce reports. The Pipedrive beta syncs activity in only.
  • Do I need admin access to set it up?
The Pipedrive user who authorizes OAuth must use the same email as their OutboundSync login.
  • Which HotHawk plan do I need?
OutboundSync receives HotHawk activity through webhooks. Confirm your HotHawk plan includes webhook access, or ask us to check during setup.
  • How is HotHawk + Pipedrive priced?
Beta access is scoped with the OutboundSync team during onboarding. Billing follows the same model as every plan: sent messages per month. Replies, opens, clicks, and lead-category updates are not billed. See the pricing page.
  • Can I do this with Zapier, Make, or n8n?
Yes, for lightweight automation. Zapier, Make, and n8n are good for prototypes and simple routing, but they need ongoing maintenance and bill by task or step. OutboundSync is pre-built for outbound CRM sync, keeps searchable event logs beyond 30 days, and prices by outbound volume.
  • What breaks first when this scales?
Data quality and reliability break first: duplicate events, retries, out-of-order webhooks, and bursts during big sends. OutboundSync handles idempotency, timing buffers, and queue recovery, and flags suspicious or mismapped payloads instead of writing them.
