Instantly → Salesforce
Instantly's Salesforce connector only pulls leads in. OutboundSync writes every send, reply, and status change back onto the Lead or Contact, where your reports and Flows can use it.
Yes. OutboundSync connects Instantly to Salesforce and logs each Instantly event (sends, opens, clicks, replies, bounces, unsubscribes, and lead statuses) on the matching Lead or Contact as a Task or EmailMessage record. Any Salesforce report can also act as an Instantly block list, so reps, RevOps, and leadership all work from one activity history.
| Status | Live |
|---|---|
| Channels | |
| Direction | Activity Instantly → Salesforce; block lists Salesforce → Instantly |
| Salesforce records | Leads, or Contacts and Accounts |
| Block lists | Yes, from Salesforce reports |
| Instantly plan | Hypergrowth or higher |
| Setup | Self-serve: create an External Client App, then connect it in OutboundSync |
Instantly does ship a Salesforce connector, but it moves data in one direction: Salesforce contacts and leads into Instantly campaigns. Nothing about what happened in those campaigns comes back. OutboundSync closes that loop by turning Instantly webhooks into Salesforce activity with the campaign name, step, and event type on every record.
You choose whether events land as Tasks or EmailMessage records, and you can template the Task subject with snippets like event type and campaign ID. That makes the data easy to filter in reports and dashboards, and easy to act on in Flows. Optional OutboundSync fields on the Lead and Contact carry the latest status for list views and routing rules.
Every event below arrives in near-real time and lands on the matched Salesforce record. Pick the ones you want per source.
| Event | Channel | Where it lands in Salesforce |
|---|---|---|
| Email sent | Task or EmailMessage on the Lead or Contact | |
| Email opened | Task on the Lead or Contact, plus optional OutboundSync fields | |
| Link clicked | Task on the Lead or Contact, plus optional OutboundSync fields | |
| Reply received | Task or EmailMessage on the Lead or Contact | |
| Email bounced | Task on the Lead or Contact, plus optional OutboundSync fields | |
| Lead unsubscribed | Task on the Lead or Contact, plus optional OutboundSync fields | |
| Lead status updates— Interested, not interested, neutral, meeting booked, meeting completed, closed, out of office, wrong person, custom labels, and campaign completed without reply | Task plus optional OutboundSync fields on the Lead or Contact |
Event names come from the Instantly webhooks OutboundSync receives. See the Instantly event reference.
Report on replies and meetings booked by Instantly campaign ID, so renamed campaigns never break a dashboard.
Fire a Salesforce Flow when a Lead moves to interested or meeting booked, and hand it to the right owner with context.
Save a report of customers, open opportunities, or do-not-contact records and use it as an Instantly block list.
The options teams weigh before they commit a production sync.
| Option | What it does | Trade-off |
|---|---|---|
| Instantly's native Salesforce connectorNative integration comparison | Enrolls Salesforce contacts and leads into Instantly campaigns (Salesforce → Instantly). | It only pulls contacts into Instantly — it does not write sends, replies, or activity back into Salesforce.Source: instantly.ai |
| Zapier, Make, or n8nCompare integration platforms | Catch Instantly webhooks and write each event to Salesforce with a workflow you build. | Every event type, retry, and field change is a workflow you maintain, billed per task or step. |
| Custom buildBuild vs buy | Write your own service against the Instantly and Salesforce APIs. | You own matching, deduplication, API limits, and every upstream schema change. |
| OutboundSync | Pre-built email activity sync into Salesforce Leads and Contacts, with Salesforce reports pushed back as block lists. | Self-serve setup, searchable event logs, and support from the team that maintains the connector. |
A Salesforce admin creates an External Client App, then connects it in OutboundSync and picks Task or EmailMessage logging.
Add your Instantly API key in OutboundSync, then paste the source's webhook URL into Instantly.
Pick which Instantly events to log, whether they write Tasks or EmailMessage records, and which OutboundSync fields to fill.
Point a Salesforce report of customers, open deals, or do-not-contact records at Instantly so they never get cold outreach.
Trigger one Instantly event and confirm it on a real Lead or Contact.
Turn on the source and start building Salesforce reports, dashboards, and Flows on real Instantly data.
Hypergrowth or higher
OutboundSync requires Instantly's Hypergrowth plan or higher, because it relies on Instantly's webhook and API features.
OutboundSync works across Salesforce editions. The difference is API capacity: plan for roughly 6 API calls per sent email once replies and status events are counted.
| Edition | Fit | What to know |
|---|---|---|
| Professional | Limited support - API limits may restrict ongoing sync. |
|
| EnterpriseMost common | Recommended - Best balance of capability, API capacity, and cost. |
|
| Unlimited | Ideal - Best for scale and high activity volume. |
