Instantly is an all-in-one cold email platform. It handles outreach, deliverability, and a built-in B2B lead database in one place, so teams can find prospects and run campaigns without stitching several tools together. It connects to OutboundSync as a live, two-way integration.
Who’s behind Instantly
Instantly was founded in 2021 by Raul Kaevand, Nils Schneider, Sumit Kumar, and Reio Suun, and is based in the United States. It’s bootstrapped — the company has grown without raising outside funding. Co-founder Raul Kaevand ran a lead-generation agency before Instantly, and that background shows in the product: it’s built by someone who did cold email for clients and knew where the usual tools fell short.
What Instantly does
Instantly leans “all-in-one.” Instead of one tool for finding leads, another for sending, and another for deliverability, it bundles them: a lead database to build your list, a campaign builder to personalize and run the outreach, and email validation and domain testing to help those emails actually land. It also has campaign analytics to track how a campaign is performing.
That makes it a fit for teams who’d rather run their outbound from a single platform than manage a stack of separate tools.
How Instantly structures your data
Instantly organizes everything around a lead database and campaigns. Leads live in lists you source inside Instantly or upload, then enter multi-step campaign sequences across connected email accounts. Replies come back to a shared inbox, where Instantly’s reply categories and custom labels mark status — interested, meeting booked, out of office, wrong person, not interested, or whatever labels the team defines. Every touchpoint becomes an event: email sent, opened, link clicked, reply received, bounced, or unsubscribed, plus lead-status and label changes — each carrying campaign, step, and timestamp metadata. Those events are exactly what OutboundSync reads and lands on the matching CRM record.
On the automation side, Instantly AI Workflows route and tag leads and trigger next-step campaigns when someone replies, books a meeting, or visits your site. Copilot and AI agents (including sales and reply agents) can find leads, draft copy, and run outreach end to end. Campaign analytics track opportunities, pipeline, conversions, and revenue — near-real time views of which campaigns convert — so teams can pause underperformers and scale the ones that work.
How it works with OutboundSync
You run your campaigns in Instantly, and OutboundSync moves that activity into your CRM. Sends and replies land on the matched person and company in HubSpot or Salesforce — both directions — so a rep sees the outreach history next to the emails and calls already on that record.
