Partner spotlight: Smartlead
Smartlead is a cold email platform built for sending at high volume without wrecking your deliverability. It’s a favorite with agencies and outbound teams running a lot of campaigns across a lot of inboxes. It connects to OutboundSync as a live, two-way integration.
Who’s behind Smartlead
Smartlead was founded in 2022 by Vaibhav Namburi and is based in Sydney, Australia. He’d built several companies before Smartlead, with a background in product-led growth and marketing. Smartlead itself grew bootstrapped — no outside funding, largely on the back of cold email — and Vaibhav’s hands-on, customer-first style shows up all over the company’s own customer stories.
What Smartlead does
Smartlead is built around volume. It lets you send from many mailboxes at once, rotates sending to protect deliverability, and warms up inboxes so more email reaches the primary tab instead of spam. Replies come back into one unified inbox, and an open API lets teams wire it into the rest of their stack.
That combination is why high-volume senders — agencies especially — reach for it: they can scale up sending without each new inbox becoming its own babysitting job.
How Smartlead structures your data
Smartlead organizes everything around campaigns. Each campaign ties together rotating email accounts, multi-step sequences (with optional A/B variants), the leads you import, and a send schedule. Replies come back to a Master Inbox, where lead categories mark intent — interested, meeting booked, out of office, not interested, or whatever categories the team defines. Every touchpoint becomes an event: email sent, replied, opened, link clicked, bounced, or unsubscribed, plus lead-category updates and manual replies from the Master Inbox — each carrying campaign and timestamp metadata. Those events are exactly what OutboundSync reads and lands on the matching CRM record.
On the automation side, sequences run follow-ups on a delay, and subsequences can branch when a lead’s reply category changes. SmartAgents research prospects, draft personalized copy, classify replies, and keep campaigns moving without hand-wiring every step. Global Analytics and campaign dashboards track opens, clicks, replies, and bounces across accounts — near-real time views of which campaigns convert — so teams can pause underperformers and scale the ones that work.
How it works with OutboundSync
You run your campaigns in Smartlead, and OutboundSync moves that activity into your CRM. Sends and replies land on the matched person and company in HubSpot or Salesforce — both directions — so a rep sees the outreach history next to the emails and calls already on that record.
